Start Your 2025 Season Strong with This Club Setup Checklist!
As a club administrator, getting your systems ready for a new season can be a daunting task—but it doesn’t have to be! With this step-by-step checklist, you can ensure your club is prepared to start collecting member dues, managing accounts, and welcoming members to another fantastic year.
💡 First-Year Member Splash Clubs: Don’t forget to refer to your Credential Sheet for any specific steps noted during your onboarding setup.
1. Reset All Accounts to “Unpaid”
Ready to roll into the new season? First, update your accounts. Use the bulk change feature to mark all accounts as unpaid and start fresh.
2. Review Product Pricing
Double-check that your product prices reflect the latest rates for 2025.
- Navigate to Products.
- Hover over the product to edit, then click Edit.
- Update Flat Rate Pricing or Per Member Pricing fields.
- Hit Update to save changes.
3. Update Fee & Discount Dates
Ensure early bird discounts and late fees are current.
- Go to Products, hover over a product, and select Edit.
- Under Flat Rate Pricing – Variation Type, update the start and end dates.
- Use the club’s closing date if no end date is required.
- Add a description for clarity and save changes.
4. Review Account Tags
Account Tags are crucial for tailoring prices to different membership groups. Confirm they are accurate and up-to-date.
5. Test Your Products
Make sure members see the correct payment amounts by testing your products.
- Use a test account to replicate a member’s login.
- Click Pay Now on the red payment bar and confirm the charges match the account type.
If account types tied to product rules change, save the product again to ensure it reflects the updates.
6. Fine-Tune Member Splash Settings
Verify that all settings align with your club’s policies:
- Account, Directory, and Form Settings: Review for accuracy.
- Front Desk Settings: Include all account types eligible for check-in on Opening Day.
- Payment Settings: Confirm guest fees and payment configurations are accurate.
7. Update Guest Pass Pricing
Ensure front desk prices for guest passes are correct. Check the Check-In Settings tab to make updates if needed.
8. Take Products Out of Draft Mode
Products left in draft mode won’t apply to members. Activate them to start billing seamlessly.
9. Annual Data Cleanup
Now’s the time to tidy up your membership data. Use the Account Filter or Member Filter screens to remove outdated or non-conforming entries.
10. Notify Your Members
With Member Splash, invoicing is a thing of the past! Send an email through the Member Mail System to notify members it’s time to log in and pay their dues.
